The part that happens months earlier and decides how many people actually walk into the room. Mistakes here are the cheapest to fix, if you catch them in time.
Where events lose ground
- Promotion starts three weeks out, when there is nothing left to recover.
- The agenda keeps moving and the speakers are the last to hear. One of them finds out on the day that they are on after lunch, not before.
- Small decisions get postponed, pile up, and all arrive together in the final week.
Nothing dramatic breaks. You lose time, then you lose calm, and in the last few days you rush things that should have been done slowly.
What we cover
A second pair of eyes on the agenda, before you lock it
We look at the programme the way we will run it on the day and tell you what we see: where the energy drops, where a break is too short for everyone to get back in time, where you have three heavy speakers in a row at two in the afternoon. The decisions stay yours, we just show you what it looks like from the desk.
What we need from the speakers, asked for in time
We tell you what we need from each of them and by when, so there are no surprises on stage. You keep the communication with them. If you want us to take that over, we can, but it is agreed separately, because it is a different amount of work.
What we need from the venue
We speak directly to the venue's technical crew, because that is our part and we have to align with them anyway. The other suppliers, catering, decor, furniture, stay with you. We only tell you what affects us and by when we need to know.
Social media promotion
Through our partners at Marketing Deck: creative, copy, and posting on your pages and in relevant groups. Paid ads are contracted separately, and the ad budget is distinct.

FAQ
No. Anything requiring physical presence in the event city before show day stays with you or a local. We cover what can be done remotely, plus the event day and the day before, when we are there anyway.
Not automatically. Campaign management is priced separately and the ad budget is yours. We recommend paid amplification close to the event, when conversion is best.
Ideally two months. Later works too, but then there is less to optimise and more to recover.
